[DB-167-7, 8, 9, DB-179 & DB-192] Automatic Reconciliation
Optimisation & Performance
The Reconcile Bank Transactions code has undergone additional refactoring to further enhance system performance. This latest update includes optimising load times for the caseworker and clients drop-down lists, improving the speed at which transaction counters are updated, and enhancing the load time for transactions displayed in the green, amber, and red grids.
Transaction Ordering
All transactions including those in the red ‘Expected But Not Found’ section are now grouped by client, ordered alphabetically with transactions listed in ascending date order.
Unbatched Postings
Unbatched postings entered via Finances>Unbatched Postings will now automatically appear in the 'Expected But Not Found' section when the page is refreshed. Additionally, the system will automatically run a rematch on accounts associated with unbatched postings to check if a corresponding bank transaction is present. This update will streamline the process and make it easier for users to match unbatched postings during active bank file reconciliations.
Expected Transactions
A further improvement has been added to the Reconcile Bank Transactions feature! Previously, clients would be removed from the drop-down once all uploaded bank transactions had been administered, even if there were outstanding 'Expected But Not Found' transactions remaining on the account. With this update, clients will remain in the drop-down if there are still Expected Transactions that require further investigation or cancellation. This enhancement will allow users to continue working on the client on the Reconcile Bank Transactions page without having to resort to using Manual Reconciliation. We hope this change will improve the user experience and further streamline the reconciliation process.
[DB-181] Client Summary Panel – Include the client’s age
In the latest release, we have added a new feature that displays the age of a client in the blue client summary panel if their date of birth is recorded on the main Personal Details page. This enhancement will make it convenient for users to reference the client's age while performing their tasks.
[DB-187] Client Summary Pane – Add Client Image
We're excited to announce the addition of a new feature on the Personal Details page! Users can now upload a client image to the Summary Panel. This feature allows users to customise client records making the user experience more personal.
[DB-190] Letter Writer - Remove empty merge fields (Preview/Generate)
We have made an update to the system to improve the appearance of merged letters. Previously, if a client had blank merge fields, such as empty address lines, the system would display a blank space in place of the merge data in the preview and generated letter. With our latest enhancement, empty fields are now ignored during the merging process, resulting in neater formatting and letter presentation.
[DB-195] Notes - Increase the ‘Note' column width
We have widened the 'Note' column in the Client Notes grid to display more of the note text, enabling users to easily view a larger portion of the content at a glance. This enhancement aims to improve the user experience and increase efficiency when reviewing client notes.
[DB-173] New COP Forms – COP14 & COP15 Postcode Merging
The development team has resolved an issue related to private contacts marked as an Interested Party or Respondent with a 7-character postcode. Previously, when merging data to the COP14 and COP15, the system included the space in the postcode. With the latest update, blank spaces in the postcode will be ignored when merged into the respective documents.
[DB-174] Reporting - Date Formatting
We're happy to inform you that our development team has resolved an issue with the report generator that was affecting the formatting of dates in reports. Previously, dates were formatted as YYYY-MM-DD, which posed challenges to users trying to sort reports by date. With the latest update, all reports generated will now output dates in DD/MM/YYYY format, making it more convenient for users to sort and analyse data.
[DB-175] Client List - GDPR Report – Spelling Error
A spelling error was identified when filtering GDPR clients from the Dashboard House Keeping widget and outputting the Excel report. We have now corrected this to ensure the correct spelling of GDPR is reflected in the Client List output.
[DB-176] Legal Workflow COP15 failing to produce where a private contact does not have a relationship assigned
Previously, users encountered an error while attempting to generate a COP15 application form if there was no assigned relationship for the client's private contact. However, we have updated the system to enable the production of the application form even if there is missing merge data on the private contact record
[DB-177] Reports - Expected Transaction Report
Previously, the Case Worker dropdown list on the Reports>Client Reports>Standard Reports>Expected Transactions report displayed all caseworkers, regardless of whether their clients had any unreconciled transactions on the system. We have made an update to this feature, and now the dropdown menu will only show the caseworkers whose clients have unreconciled transactions remaining on their accounts.
[DB-178] Note Export - Date Ordering
Previously, the order of the Excel Notes output was based on the date the user entered the note, rather than the date assigned to the note. The output order of the Excel Notes has been updated to reflect the date assigned.
[DB-183] Administration - error when typing a date into the 'Date Completed' field
Previously, users encountered an error while entering a date in the Completed Date field on the Workflows>Administration page. However, we have made an update to this feature, which now allows users to either type in a date or select it from the calendar function.
[DB-184] Letter Writer - Bullet points - Align the second line in the HTML Bullet point list
We have addressed an issue where the alignment of bullet points in a letter template was not correct, causing the second bullet point to be misaligned with the first one. Our team has fixed the issue, and the system now ensures that all bullet points in the letter template align correctly.
[DB-189] Reports – Include the property location on the Property Report
We have added the location of personal property to the property report available on Reports>Client Reports>Property so users can access comprehensive information about items being stored for clients.
[DB-196] Automatic Reconciliation - Green/Amber Transactions with Not Found Status
We have resolved an issue reported by some users regarding the inability to administer green or amber transactions due to the transaction status displaying as 'Not Found'. Previously, users had to perform a forced rematch using the Manual Reconciliation feature to address this issue. With this update, we have implemented a fix that prevents this scenario from occurring in the future.
The following Trojan Administration tasks have also been deployed as part of this release. These are not visible in customer systems and do not affect system functionality for our end users.

Report Generator - Add the ‘Date Last Reconciled’ as a reportable field
Currently, the system does not have the capability to generate a report on the "Date Last Reconciled" because this information is not stored in the database as a reportable field. Instead, the system calculates this information in real-time when a user accesses the "Account Enquiry" page. If the "Date Last Reconciled" field is added to the database, it will enable customers to easily report across all clients to identify when accounts were last reconciled by a user.
OPG Report Start Date (Admin>OPG Reports)
We are aware of an issue where the OPG report start date may be one day less than the client's Final Order Anniversary in certain situations. Our team is working to resolve this issue, and in the meantime, we recommend creating a new report from Client>Reports>OPG Reports as a workaround. This will ensure that the OPG report start date matches the Final Order Anniversary of the client.
Full User – Amend Letter Description
Currently, Full Users are not able to change the description on Letter History. This issue will be addressed in a future update. Until then, only Super Administrators and Managers have permission to amend the description.
Personal Details – Main Contact Address
Users have requested that the address of a client’s main contact (e.g. carer or family member) be displayed on the main personal details page, this change has been added to the development list and will be included in a future update.
Letter History – Allow Description to be Edited by Full Users
Full Users are unable to edit the description of a letter under Letter History as intended, this will be addressed in a future update. In the meantime, a Super Admin or Manager can amend a letter description.
